This policy explains what information EnglishTestNow collects, how it is used and shared across borders, how long it is kept, and what rights users may have under PIPEDA and other applicable privacy laws.

This page applies to the EnglishTestNow website, dashboard, and related digital services.

EnglishTestNow is accountable for personal information under applicable Canadian privacy law.
Account, billing, usage, and learning-submission data may be processed in Canada and abroad by listed providers.
Contact us through support for privacy requests; we do not sell personal information for money.

Scope of this policy

This Privacy Policy explains how EnglishTestNow collects, uses, shares, stores, and protects personal information when you visit the website, create an account, buy a paid plan, use test-prep features, upload responses, or contact support.

It applies to the public site, authenticated dashboard, billing flows, support chat, and related digital services. Additional notices may appear at or before the point where we collect specific information.

Accountability under Canadian privacy law

EnglishTestNow is accountable for personal information collected through the service under applicable Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA) where it applies.

If you are not satisfied with our response, you may have the right to complain to the Office of the Privacy Commissioner of Canada or, where applicable, a provincial privacy commissioner.

Information we collect

We collect information from several sources, depending on how you use the service.

  • Information you provide directly: name, email address, profile details, account preferences, test selections, support messages, uploaded writing, uploaded audio, bookmarked items, vocabulary saves, and other content you choose to submit.
  • Billing and transaction data: subscription status, product identifiers, plan selections, renewal dates, and payment event details received from our payment processor. We do not store your full payment card number on our own servers.
  • Usage and device data: IP address, browser or device details, session identifiers, approximate location derived from network data, timestamps, feature usage, error logs, and security events.
  • Information from service providers: authentication details from Clerk, billing events from Stripe, support or email interaction data from Brevo, and AI-processing outputs generated through our model and voice providers.

How we use information

We use personal information as reasonably necessary to operate the service, including to:

  • create and secure accounts, authenticate users, and prevent fraud or abuse;
  • deliver practice tests, scoring, feedback, analytics, and coaching workflows;
  • process purchases, renewals, cancellations, taxes, and billing support requests;
  • store progress history, bookmarks, preferences, entitlements, and usage balances;
  • respond to support requests and send transactional communications;
  • monitor reliability, debug errors, protect the platform, and improve the service;
  • enforce our terms, comply with law, and resolve disputes.

How we share information

We do not sell personal information for money. We share information only where needed to run the service, comply with law, or protect rights and security.

  • Authentication providers such as Clerk.
  • Payment and billing providers such as Stripe.
  • Support and transactional email providers such as Brevo.
  • Product analytics providers such as PostHog.
  • AI, transcription, and voice providers such as OpenAI, OpenRouter, and Vapi.
  • Infrastructure, database, cache, and storage providers used to host the app, sessions, private uploads, and related operational data.
  • Advisors, auditors, acquirers, courts, regulators, or law enforcement where required or reasonably necessary for legal compliance or risk management.

AI features and user submissions

If you use writing, speaking, scoring, explanation, or coaching features, your prompts, answers, transcripts, or audio may be transmitted to third-party model or voice providers so we can generate feedback or other service outputs for you.

We configure these providers to process your submissions for service delivery. We do not authorize providers to use your individual submissions to train their general foundation models, except where a provider's own mandatory terms apply to data you send directly through their standalone services outside our platform.

We may use de-identified or aggregated usage information, and limited human review where needed for support, abuse prevention, safety, or quality improvement. Automated scoring and coaching outputs are study aids only. They are not legal, immigration, medical, or employment decisions.

AI systems can be imperfect. Please do not submit highly sensitive personal information unless it is genuinely necessary for your use of the feature.

Cookies, local storage, and tracking disclosures

Strictly necessary technologies. We use cookies and similar technologies that are reasonably necessary to sign you in, keep sessions active, protect accounts, remember product choices, and support chat, language, and interface preferences. The app also uses local or session storage for some product-state and user-interface settings.

Analytics. We may use product analytics tools such as PostHog to understand page views, navigation flows, feature usage, and general product performance so we can improve the service over time. Where privacy law requires consent for non-essential analytics, we rely on the cookie preference banner and your choices where applicable.

Our cookie banner stores your preference locally on your device. If you want to change analytics-related choices after deciding, contact us through the support chat at englishtestnow.com.

We do not currently describe ourselves as selling or sharing personal information for cross-context behavioral advertising. The site does not currently respond differently to browser Do Not Track signals. Third-party providers integrated into the service may collect information over time and across services under their own privacy terms.

Marketing and transactional communications

We send transactional communications such as receipts, billing notices, security alerts, account confirmations, and service-related messages as part of operating the platform.

If we send optional marketing or promotional email, you can unsubscribe using the link in the message or by contacting us through the support chat at englishtestnow.com. Unsubscribing from marketing messages does not stop required transactional communications about your account or purchases.

Retention

We keep personal information for as long as reasonably necessary for the purposes described in this policy, including to maintain accounts, provide features, troubleshoot issues, satisfy legal obligations, resolve disputes, and enforce agreements.

  • Account and progress data: generally kept while your account remains active and for a reasonable period after closure where needed for support, fraud review, or legal compliance.
  • Billing and tax records: kept for the period required by law or accounting practice.
  • Support messages: kept as long as reasonably necessary to resolve issues, prevent abuse, and maintain an audit trail.
  • Private audio uploads: may be retained for up to 90 days, subject to shorter or longer retention where needed for backups, support, abuse review, or legal obligations.
  • Logs and security events: kept for operational, troubleshooting, and security purposes for limited periods unless longer retention is required.
  • Backups: may retain copies for a limited time after deletion from active systems.
  • De-identified or aggregated data: may be kept longer for analytics and service improvement.

International transfers and security

Our providers and infrastructure may process or store information in countries outside your home jurisdiction, including the United States and other countries where our hosting, authentication, payment, analytics, email, and AI vendors operate.

Where applicable, we use contractual, organizational, and technical measures intended to protect personal information during cross-border processing, including vendor agreements and access controls appropriate to the sensitivity of the data.

We use administrative, technical, and organizational safeguards designed to protect personal information. No security measure is perfect, and we cannot guarantee absolute security.

Security incidents

If we become aware of a security incident that compromises personal information and triggers legal notification obligations, we will take reasonable steps to investigate, mitigate harm, and notify affected users and regulators as required by applicable law.

Your privacy choices and rights

Depending on where you live, you may have rights to access, correct, delete, export, or restrict certain personal information, and to object to certain processing. California residents may also have rights described by the CCPA and CPRA, including rights to know, delete, correct, limit certain sensitive-information uses, and receive non-discriminatory treatment for exercising applicable rights.

We do not currently describe ourselves as selling personal information or sharing it for cross-context behavioral advertising. If that changes, we will update this policy and provide any additional controls required by law.

If you are in the EEA, UK, or Switzerland, you may also have the right to complain to your local data protection authority.

Quebec residents

If you are in Quebec, Quebec privacy and consumer laws may give you additional rights regarding consent, portability, deletion, or automated processing. To exercise those rights or ask questions, contact us through the support chat at englishtestnow.com.

Children

The service is not directed to children under 13. If local law requires a higher age for independent digital consent, users below that age must use the service only with the involvement of a parent, guardian, or other authorized adult.

If you believe a child provided personal information in a way that should not have happened, contact us so we can review and take appropriate steps.

Changes to this policy and contact

We may update this policy from time to time to reflect legal, product, or operational changes. The revised version becomes effective when posted on this page unless a later date is stated.
